What a bespoke timber quote has to do
A customer hands the dealer a sketch. A footprint, a few windows, a note about the roof. What the dealer needs back from the manufacturer is not a price on its own. It is a building the customer can see, drawings the builder can work from, and a quotation that matches those drawings. If those three come from three separate jobs, they drift apart. If they come from one configuration, they agree.
This article follows a bespoke brief through the Eurodita process, from the first sketch to the 3D visual and the written quotation. It explains what the dealer sends at each stage, what comes back, and how the dealer presents the result. No timing is given, because Eurodita publishes none; timing for a specific order is stated in the quotation.
Who quotes, and on what basis
Eurodita manufactures timber building kits at the Eurodita factory in Lithuania, since 1994. Every order is quoted in writing, whether a catalogue cabin, a glulam home or a bespoke design. There is no price list, public or private. The quotation is the only document that fixes the scope and the price of a project. Prices are in EUR and exclude VAT and delivery. The default basis is EXW Eurodita factory; DAP is agreed per order and DDP case by case.
Bespoke, glulam and modified projects are calculated individually, never from a catalogue price. The route is described on bespoke and custom log cabins.
Stage 1: the sketch and the brief
A sketch can start the discussion. Send the following with the first enquiry.
- Company, legal entity, commercial role and destination market.
- The sketch, drawing or target specification, with external dimensions as length by width. Every dimension Eurodita states is external, and a terrace or canopy is stated as its own figure.
- The wall family and profile written in full: solid, for example 58x130 mm; glulam, for example 135x260 mm; or twin-skin, for example 58-100-58 mm. For 70x130 mm, state solid or glulam.
- The corner type for glulam 88 to 220 mm: dovetail or standard.
- Joinery on its own line: IV45, IV68 or triple-glazed IV92 windows and doors, timber sliding or bifold doors, or aluminium sliding systems.
- Roof form, and whether roof and floor should be prepared for locally bought insulation.
- Finish: untreated by default, or factory painting requested as an option with limited capacity.
- Quantity, delivery basis, destination and the required delivery window.
- Branding and documentation requirements, including whether the paperwork should carry the dealer's name.
Two rules apply to the wall line. A 35 mm wall does not exist; the profile is 34x100 mm. The figures 45, 68 and 92 are joinery systems, not wall thicknesses. The reference is on wall profiles. For one-off bespoke work the solid range starts at 28 mm; custom 19 mm is a mass-production route only.
Stage 2: qualification
Qualification is a review of business fit, not an application with a score. Eurodita checks the company, its commercial role, the destination market, the intended use, the product family, the expected quantity and any repeat-order plan. It also checks branding, documentation and logistics requirements. Where something is missing, it asks before quoting. Enquiries are reviewed by Gabrielė Žukauskaitė, Sales manager.
An enquiry that carries the list above can be quoted without a clarification round.
Stage 3: configuration in the design and estimation system
Every bespoke project goes through the Eurodita design and estimation system. It is an in-house workflow that combines 2D CAD floor-plan design, 3D visualisation, material and timber-volume calculation, cost estimation and branded PDF output. It is an internal tool used by the Eurodita team on real enquiries, not a public self-service configurator.
The team configures the building in the system from the brief. The system produces the floor plans, the elevations with dimensions, a 3D render, the specification and the window and door schedule. It calculates the estimate from the geometry and the maintained pricing data. Because every document comes from one configuration, the visual, the drawings and the quotation describe the same building.
Where the project needs structural calculations, they are arranged with an external specialist partner, and the design is adjusted if the calculations require it. If the enquiry started from an architect's drawing, the quotation describes the manufacturable version of it.
Stage 4: what comes back
Once the brief is qualified, the partner receives a package.
- 3D visual renders of the configured building.
- 2D CAD floor-plan drawings.
- Side and elevation drawings with dimensions.
- Technical project specification: wall, roof, floor and material parameters.
- Window and door schedule: the joinery system, the number and size of each unit, and the glazing.
- Commercial quotation: the priced proposal, line by line.
- Branded PDF: the package under the partner's identity where agreed for the order.
The quotation carries a reference used in all later correspondence and prints a validity date. After the validity date, the price is revalidated rather than automatically withdrawn or held. Payment terms are 50/50: half with the order and half before dispatch from the factory. Freight is quoted separately for the route and load through third-party forwarders.
Stage 5: checking and revising
Read the quotation against the enquiry that produced it. The line-by-line guide is on reading a Eurodita quotation. Check in particular:
- the model or bespoke description and drawing reference match the version last discussed;
- the wall profile is written in full, with family, section and corner type;
- the window and door schedule matches the plan in quantities, sizes and glazing;
- roof, floor and option lines say what is supplied, and painting appears only if ordered;
- nothing outside the manufacturing scope is assumed: foundations, utilities and approvals stay with the buyer, and installation is agreed per project.
To change something, reply to the sales contact quoting the reference and listing the lines to alter. The change is re-run through the design and estimation system and a revised quotation with revised drawings is issued. Accept the revision, not the original, and keep it with the order confirmation.
Stage 6: approval and order
Production does not begin from an unapproved concept. The buyer approves the drawings, the specification, the quotation, the branding scope and the written terms before manufacturing starts. The order drawings then replace the catalogue figures for that building. With the order come assembly drawings and the assembly guide; on dispatch, the commercial invoice, packing list, CMR consignment note and export declaration. Presenting the package to the customer
Three habits make the presentation land.
- Lead with the 3D visual. The customer recognises their sketch in it. Then open the floor plan and walk through the openings against the window and door schedule.
- Explain the scope lines in plain words. The kit is the walls, floor, roof, joinery and the storm brace and anchor set. Foundations, insulation material, roof covering, utilities and assembly are local.
- Keep performance claims out. Each technical line is a manufacturing instruction, not a performance result. No thermal figure is implied by a profile or a glazing line. Where a figure is needed for approval, the local designer calculates it from the order drawings.
Where agreed, the whole package carries the dealer's own name, so the customer sees one supplier. The branding arrangement is on private-label manufacturing, and the supply terms on the dealer programme page.
